How to Use AI to Write a Better Resume and Cover Letter (Without Sounding Like a Robot)

Disclosure: this article was drafted with Claude, which is made by Anthropic, and Claude appears in the tool list below. I applied the same rules to every tool: details come from official pages where they loaded, and I say so when they did not.

Most people open an AI chatbot, type “write my resume,” and paste whatever comes back. That is the fastest way to end up with a document full of stock phrases that sounds like everyone else’s. Used well, though, AI is a very good editor: it can tighten your bullet points, match your wording to a job post, and get you past the blank page on a cover letter.

This guide gives you a workflow you can follow today, prompts you can copy, an honest look at how applicant tracking systems (ATS) really work, and a checklist for keeping your personal data safe.

The Short Answer

Use AI to organize, rewrite and tailor what you have really done. Do not use it to invent experience, numbers or skills. Add your own specifics, check every line, and keep the formatting simple. That is the whole method; the rest of this article shows you how.

What Recruiters and ATS Really Do (and Do Not Do)

Before you optimize anything, it helps to know what you are optimizing for. Two sources are worth reading, and both come with caveats.

A small study from a resume-software company. Enhancv, a resume-software company, published a study called “The ATS Rejection Myth,” reported by BetaNews. It interviewed 25 recruiters and HR professionals in the US. According to that report, 92% said their systems do not automatically reject resumes because of formatting or content, and only 2 of the 25 used systems set up with strict match thresholds. About 44% said their software includes AI match scores, and more than half of them turn the scores off or ignore them. The recruiters pointed to application volume and timing as the real obstacles: entry-level roles can draw 400 to 600 applications within days, and many said screening starts within three days of posting.

Treat this with care. The sample is small, the publisher sells resume tools, and the article does not give a study date.

A vendor article. Jobscan, which sells resume-scanning tools, argues that no major ATS detects AI-written resumes, and that the real risks are parsing problems (tables, text boxes, multi-column layouts), generic writing, and claims you cannot back up in an interview. It is vendor content, and some of its statistics are inconsistent within the same article, so I use it only for the general advice, which matches the study above.

What this means for you:

  • Do not panic about “beating the robot.” Write for a human who may spend under a minute on a first look.
  • Applying early probably helps more than any keyword trick, according to the recruiters in that study.
  • Keep the layout simple so any system can read it.
  • Generic AI text is a bigger risk than “AI detection.”

The 8-Step Workflow

[IMAGE 2 — Infographic: eight numbered steps from “Collect facts” to “Final proofread.” Alt text: “Eight-step workflow for writing a resume with AI”]

Step 1: Collect the raw facts yourself

Open a plain document and list, for each job: employer, title, dates, what you were responsible for, tools you used, and any result you can measure (money saved, time cut, people supported, tickets closed). Do this before you touch AI. The model can only polish what you give it, and facts from you are what make the resume believable.

If you have no numbers, write honest scale instead: “supported about 30 customers a day” is better than an invented percentage.

Step 2: Pick one target job

A resume tailored to one real job post beats a generic one. Copy the full text of the job description into a document. Highlight the required skills, the tools named, and the verbs it uses.

Step 3: Paste facts and job post into your chatbot

Use ChatGPT, Claude, or any chatbot you trust. Try this prompt:

“Here is my work history (facts only) and a job description. Do not invent anything. List which requirements in the job post my history already supports, which are partly supported, and which are missing. Then suggest which of my experiences to lead with.”

This gap analysis is the most useful thing AI does for a resume. It tells you what to emphasize and what you honestly cannot claim.

Step 4: Rewrite bullet points one job at a time

Prompt:

“Rewrite these bullet points for the target role. Keep every fact and number exactly as I wrote it. Start each with a strong verb, keep each under 25 words, and do not add skills or results I did not mention. Give me two versions of each.”

Asking for two versions makes it easier to see which sounds like you. Rejecting the clichés (“results-driven,” “spearheaded,” “dynamic”) is the quickest way to avoid the robot feel.

Step 5: Write the summary last

A short professional summary is easiest once the bullets are final. Prompt:

“Write a 3-sentence summary from the resume below for [job title]. Use plain language, no buzzwords, and nothing that is not in the resume.”

Step 6: Draft the cover letter in your own structure

A good cover letter is short and specific. A simple structure:

  1. Opening: the role, and one real reason you want this company (from its own website or news, not a guess).
  2. Middle: one or two achievements from your list that map to the job’s top needs.
  3. Closing: a plain request for a conversation.

Prompt:

“Write a cover letter under 250 words using only the facts below. Paragraph 1: why I am interested in this company [my reason]. Paragraph 2: my achievement that matches the top requirement. Paragraph 3: a polite closing. Plain, warm tone. No clichés.”

Always replace any claim about the company that you have not verified. AI can state invented details about a company with complete confidence.

Step 7: Check formatting for any system

Use one column, standard headings (Experience, Education, Skills), a common font, and a normal file type. Avoid tables, text boxes, icons used as text, and graphics-heavy templates. Test by copying all the text out of your PDF into a plain text editor. If the order is scrambled, a parser may struggle too.

Step 8: Proofread like a skeptic

Read every line aloud. Ask: “Can I explain this in an interview?” Check dates, names, spelling and numbers. Then ask the chatbot to act as a hiring manager and list the three weakest claims, and fix them yourself.

The Tools: What They Are and What to Check

You do not need all of these. A general chatbot plus one scanner is usually enough.

1. ChatGPT and Claude

General chatbots are the most flexible option. They are best for the gap analysis, rewriting and interview practice described above. Both have free tiers, but limits and plans change, so check each product’s current plan page. The same prompts work in either; the better one is the one whose voice sounds more like you.

2. Canva’s AI resume builder

Canva’s page describes a tool that takes your pasted resume text and a job description, generates suggestions for a summary, skills, experience and a cover letter, and lets you drag bullet points into a design and download a PDF. The page calls the builder free to use and marks only Brand Kit as Pro. It does not list any usage caps. It also says text can be edited with Magic Write, which it says is powered by OpenAI, and it recommends reviewing every suggestion for accuracy.

One caution: visual templates look good but may be harder for ATS to read. Choose a simple one-column design, and read Step 7 above. Our guide to Canva’s new image generator covers other Canva AI features.

3. LinkedIn’s AI job coach

Engadget reported that LinkedIn announced an AI job coach on June 13, 2024, with resume edits tailored to a job description, AI-written cover letters drawn from your experience, and conversational job search, available to Premium subscribers who are marked as open to work. That report is more than two years old, and LinkedIn’s own help page did not open for me, so check LinkedIn today for what is included in your plan and region.

4. Jobscan and other resume scanners

Scanners compare your resume with a job description and show matched and missing keywords. Jobscan is the best known. I could not verify current prices or free-scan limits from an official page, so look at the pricing page yourself. Use scores as a hint about wording, not as a pass or fail grade. The recruiter study above suggests many systems do not rely on match scores.

Quick Comparison

Option Best for Cost (as far as verified) Watch out for
ChatGPT / Claude Gap analysis, rewriting, letters, practice Free tiers exist; check plan pages Invented details; privacy settings
Canva AI resume builder Quick drafts and a designed PDF Builder described as free by Canva Design-heavy layouts may not parse well

Protect Your Privacy

A resume holds your name, phone number, email, address and work history. Before pasting it into any AI tool:

  • Remove what you do not need. Leave out your street address and phone number while drafting; add them back in your final file.
  • Check training settings. OpenAI’s Data Controls FAQ says you can turn off “Improve the model for everyone” and that Temporary Chats are not used for training and are deleted from OpenAI’s systems within 30 days. Anthropic’s privacy page says consumer chats may be used for training if you allow it, that you can turn off Model Improvement in your privacy settings, and that Incognito chats are excluded.
  • Skip employer secrets. Never paste confidential client names, internal numbers or documents covered by an agreement.
  • Know the sensitive-chat options. See our guide to ChatGPT Locked Chats if you share chats with others on a device.

Common Mistakes to Avoid

Letting AI invent numbers. “Increased sales by 40%” is a trap if you cannot show where 40% came from. Say “never invent” in every prompt.

Using the same text for every application. A tailored resume takes ten minutes with AI. A generic one signals low effort.

Keeping stock phrases. If a sentence could appear on any resume, rewrite it with a detail only you would know.

Choosing a fancy template over readability. Columns, icons and text boxes can scramble text for parsers.

Stuffing keywords. List the skills you really have. A keyword you cannot discuss will hurt you in the interview.

Trusting AI facts about the company. Verify anything the model says about the employer.

Sending the letter unread. AI sometimes leaves in placeholders like “[Company Name]” or the wrong job title.

Pasting everything into a public tool. Strip out data you do not want stored.

Frequently Asked Questions

Can employers tell that I used AI? No reliable detector is proven for professional writing; the Jobscan article, which is vendor content, says major ATS platforms do not detect AI use. A human reader can, however, notice generic, buzzword-heavy text. Edit so it sounds like you.

Is it okay to use AI for a resume at all? Many job seekers do, and the useful line is honesty: AI may help you word true facts, but every claim must be yours and provable. Some employers set their own rules about AI use in applications, so read the instructions on the job post.

Will an ATS automatically reject my resume? The small recruiter study above reported that most of the recruiters interviewed said their systems do not auto-reject on formatting or content. Eligibility questions, such as work authorization, can still screen people out.

How long should a cover letter be? Short: around 250 words and one page is a sensible target, with one company reference and one matching achievement.

Which AI tool is best for this? There is no single winner. A general chatbot for the writing and a scanner or builder for formatting works for most people. Try the free tiers first.

Should I use a free resume builder? Free builders are fine for drafts. Check the final PDF in a plain text editor and make sure you are not locked into a paid plan to download it.

The Bottom Line

AI will not get you hired, but it will make your real experience easier to read. Collect your facts first, tailor to one job, ask for gap analysis and rewrites, add your own specifics, keep the layout simple, and protect your personal data. Then proofread like a skeptic. A resume that is true, clear and specific beats a polished one that sounds like everyone else’s.
